About This Policy

Laguna Coast Volleyball Club (“LCVC,” “we,” “us”) is a 501(c)(3) nonprofit youth volleyball club based in Laguna Beach, California. We work with families, athletes, and coaches every day, and the information you share with us — your child’s name, your contact details, medical waivers, payment information — is information we take seriously.

This policy explains what we collect, how we use it, who we share it with, and the rights you and your child have. It applies to our website at lagunacoastvolleyballclub.org, our online registration and team-management tools, and the day-to-day operations of the club.

Information We Collect

From parents and athletes (during registration and the season)

  • Contact information — parent and guardian names, mailing addresses, phone numbers, email addresses
  • Athlete information — name, date of birth, school, grade, jersey size, position, and similar program details
  • Medical and emergency information — allergies, conditions, emergency contacts, and signed medical waivers
  • Payment information — handled by our payment processor (Stripe); LCVC does not store full credit card numbers
  • Photographs and video — only if you have opted in (see Photos and Media below)

From visitors to this website

  • We do not currently use tracking cookies or analytics tools on the public LCVC website. If this changes, we will update this policy.
  • If you contact us through a form or email link on the site, we receive your name, email address, and any message you send.

From coaches and contractors (a separate process from athlete registration)

  • W-9 tax information, including Social Security Number, for coaches paid as 1099 independent contractors
  • Background-check status from Checkr, USA Volleyball / SCSN, and AAU
  • Coach Social Security Numbers are collected only through secure intake — never by plain email, screenshot, or unencrypted form — and are stored only in the systems that issue tax documents.

How We Use This Information

  • Running our programs — building rosters, scheduling practices and tournaments, communicating with families
  • Processing registrations and payments
  • Complying with our governing bodies (USA Volleyball, SCSN, AAU)
  • Issuing tax documents (1099-NEC) to coach contractors
  • Conducting background screening for adult staff, in compliance with the Fair Credit Reporting Act
  • Sending newsletters and club announcements — you can unsubscribe at any time from any email

We do not use your information for any purpose unrelated to running the club.

Children Under 13 — Children’s Online Privacy Protection Act (COPPA) Notice

LCVC offers programs that include children under 13, including Club Lite and our elementary after-school programs. We comply with the federal Children’s Online Privacy Protection Act (COPPA).

What we collect from children under 13. Names, dates of birth, school and grade level, parent contact information, medical and emergency information, and — only with separate opt-in consent — photographs and video.

Verifiable parental consent. Before we collect personal information from a child under 13, we obtain verifiable consent from the parent or guardian as part of registration. Our registration is run through SportsEngine, which provides verifiable consent steps as part of its under-13 signup flow.

Parental rights. As a parent or legal guardian, you may at any time:

  • Review the personal information we hold about your child
  • Request that we delete some or all of your child’s personal information
  • Refuse to allow further collection or use of your child’s personal information

To exercise any of these rights, email admin@lagunacoastvolleyballclub.org. We will respond within 30 days. There is no fee, and exercising these rights will not affect your child’s participation in the club beyond what is necessary to deliver the service (for example, we cannot place an athlete on a USAV-sanctioned roster without certain required information).

Service Providers We Use

We rely on a small number of trusted third-party services to operate the club. Each one handles a specific function on our behalf:

We choose vendors that publish their own privacy and security commitments, and we require them to handle personal information consistently with applicable law. We do not sell, rent, or trade personal information to anyone.

Photos and Media

Volleyball is a visual sport, and parents often appreciate photos from practice, tournaments, and team events. We respect that not every family wants their child’s photo published.

We only use a player’s photograph or video — on our website, social media accounts, in newsletters, or in promotional materials — if the parent or guardian has opted in during registration. You can change this preference at any time by emailing admin@lagunacoastvolleyballclub.org, and we will remove existing photos of your child from our LCVC-controlled channels within a reasonable time.

Photos taken by other families at games and tournaments are not within LCVC’s control.

When We Share Information

We share information only as needed to operate the club:

  • With the service providers listed above, to deliver the services
  • With governing bodies (USA Volleyball, SCSN, AAU) to register athletes for sanctioned events and tournaments
  • With tournament hosts and event organizers, to register teams
  • With school districts and recreation departments (Laguna Beach Unified School District, City of Laguna Beach Recreation, SchoolPower), only as needed for facility use and program coordination
  • When required by law, including subpoenas, court orders, and mandatory child-safety reporting

We do not sell, rent, or trade personal information.

Data Security

We take reasonable steps to protect personal information from unauthorized access, disclosure, or loss. These steps include named-user access controls on shared files, secure intake for sensitive items such as Social Security Numbers, and contracts with our vendors that require security practices. No system is perfect — if we ever learn of a data incident that may affect you, we will notify you as required by California law (Civ. Code § 1798.82).

How Long We Keep Information

We keep information only as long as needed to operate the club and meet our legal obligations. As a general guide:

  • Registration and payment records — 7 years (tax and insurance recordkeeping)
  • Medical waivers — through the season plus 7 years
  • Coach W-9 and 1099 records — 7 years (IRS requirement)
  • Photographs — until the parent withdraws consent
  • Email correspondence — prior seasons archived to secure offline storage and removed from the active admin inbox on a yearly cycle

When information is no longer needed, we delete or securely destroy it.

Your California Privacy Rights

California residents have certain rights regarding their personal information. You may request to review, correct, or delete personal information we hold by emailing admin@lagunacoastvolleyballclub.org. We may need to verify your identity before responding. We will respond within 45 days.

Although LCVC is a nonprofit and is not subject to the full California Consumer Privacy Act (CCPA), we follow its core principles as a matter of good practice and respect for our families.

Changes to This Policy

We may update this policy from time to time. The “Last Updated” date at the top reflects the most recent revision. Material changes (changes that affect the rights or obligations of families) will be communicated by email to current parents and posted on this page at least 30 days before they take effect.
